Staff briefed commissioners on the ongoing move of clerk, auditor and treasurer materials into climate-controlled storage and on plans for additional shelving and future shredding events. The presenter said some permanent records must be retained per state rules, but that scanning and recent shredding have reduced the number of banker boxes needing storage.
"The clerk's records will nearly fill that room up," staff said, noting the county will continue to scan current records to reduce paper volumes, but permanent records still require hard-copy retention in many cases. Commissioners discussed whether to add another storage area in the future and noted that additional shred days would be scheduled in accordance with statutory retention schedules.
Staff said movers are expected back the next week to finish set-up and that county personnel will coordinate further space planning as records are catalogued.
