Executive Director (S6) told the board that one firm submitted a response at the RFQ bid opening earlier the same day and outlined the options available to the board.
"We had the bid opening today at 02:00, and we received 1 bid," Executive Director (S6) said. The director explained that purchasing will review the submission for compliance with the RFQ and that the board can accept the bid, reject it and reopen the solicitation, or discuss options at an upcoming workshop. The board set a workshop for Sept. 10 at 3:00 p.m. to review the RFQ responses and consider next steps.
Board members asked whether the proposal materials would be available prior to the workshop so they could review them in advance; staff said members would be able to see the proposal before the workshop if purchasing cleared it. If purchasing determines the submission does not meet RFQ requirements, staff said the board could cancel the workshop or reschedule as warranted.
