Loganville council approves $36,000 annual Microsoft 365 licensing after IT warns of server vulnerabilities

Loganville's council approved a motion to buy Microsoft 365 licensing after IT staff described the city's existing mail server as insecure and unsupported. The council voted to authorize the purchase at the strategic-retreat meeting, with staff saying the annual recurring cost will be roughly $34,477'$36,000.

Kyle, the city's IT presenter, said the move is driven by Microsoft's end to on-premises security updates for the older Exchange software and the risk that creates. "It is $36,000. That's an annual cost," he said, explaining the quote and how licensing is billed yearly. He told council his plan is to migrate IT mailboxes first, then progressively move other users to the cloud while repurposing hardware already purchased.

Council discussed the timeline and whether to hire vendor assistance. Kyle described a phased rollout with IT mailboxes first to work out issues and said he'd seek vendor help only if needed. The mayor and several council members pressed staff on recurring budget implications; staff said the first-year cost will be included in capital this year and then transition to the recurring operating budget.

The vote was taken after council debate and passed. Staff will bring back final vendor selection and implementation steps to a future meeting. The city manager emphasized this decision responds to an immediate security concern but noted that cloud services carry uptime trade-offs and per-user charges.
