Committee discusses officer roles, vacancies and minutes procedure

Committee members reviewed internal guidance that calls for annual elections of chair, vice chair and clerk; S1 noted the guidance but said the committee had decided it did not need a clerk at present. Members discussed member term limits, possible reappointments and the need to reach out to prospective replacements for vacant seats.

The committee also clarified administrative practice for minutes: S2 and others confirmed Gina Gonzales prepares minutes from recorded meetings and does not join via Zoom. Members agreed someone would assemble a contact list of current members, expirations and liaisons and follow up on recruitment for vacant seats.

"So it says members reviewed guidance indicating that committee should elect a chair, vice chair, and clerk annually," S1 said while summarizing the guidance. The committee did not take formal action on changing officer selection at this meeting; outreach tasks were assigned informally.
