Board debates timing for valedictorian, asks administration to return with recommendation

At the Bellbrook-Sugarcreek Local Board of Education meeting, trustees continued a detailed discussion about when to determine valedictorian and salutatorian standings after a prior vote to award honors based on the 8th semester.

Administrators told the board that official transcripts for college credit program (CCP) courses and final grades for year‑long classes may not be available in time for graduation. The superintendent and staff explained that colleges have their own grade-submission timelines and that requesting official CCP transcripts can take several business days after final grades are posted.

Several board members said they want students to have the opportunity to give a commencement speech. "There should be a speech," the presiding officer said, arguing that the timing should preserve the ceremonial aspect of the recognition. Other trustees warned that waiting until all official grades arrive could push the announcement well past commencement and might deny students the chance to be honored in person.

Members discussed compromise options: calculate honors using grades through the seventh semester (including year‑long courses) and then, when official eighth‑semester or CCP transcripts are received, retroactively designate co‑valedictorian(s) if someone’s position changes. One board member suggested setting a practical pre‑graduation cutoff date (for example, a fixed number of days before graduation) and committing to a co‑designation process if late grades change the outcome.

The board agreed administration should prepare formal language and implementation steps for the handbook and return with a recommendation at the Aug. 13 meeting. Trustees emphasized the need to craft clear communication for seniors and families and to ensure handbook language aligns with teacher contracts and board policy before a final vote.

No final policy change was adopted at the meeting; the item remains under consideration pending a staff recommendation and possible handbook revisions.
