Applicants press for clarity on accounts, signatories and accreditation during Song‑Brown webinar

During the question and answer portion of the Song‑Brown webinar, applicants asked detailed operational questions about account access, signatory assignment, partner organizations and accreditation documentation; presenters provided procedural clarifications and follow‑up contact instructions.

Brianna Romo emphasized account and role rules: applicants are automatically assigned a grant preparer role at registration, but only program directors may submit an application. She told participants the platform no longer supports an in‑profile "signing others" feature and that to add a grant preparer or change certain roles applicants must email the Song‑Brown team for assistance. "We just got rid of it maybe within the past couple of weeks," Romo said regarding the removed feature.

Melissa, responding to a separate question, confirmed the program allows one organization to submit multiple applications for different specialties in the same cycle: "one organization can submit more than one application," she said. Presenters also clarified that a given signatory role (for example, the STD 204 signatory) may be held by only one person at a time, though different signatory roles may be filled by different individuals.

On accreditation, Melissa told applicants they must identify the specific residency program they are applying for and provide sponsoring‑institution documentation or proof of application to the ACGME. Presenters also advised that disproportionate share hospital (DSH) designation is a hospital‑only status and that affiliated clinics should not be marked as DSH.

Other procedural clarifications provided during Q&A included: the import feature for prior application graduate data was removed and graduate data must be entered manually; urgent care clinics are not considered primary care for the purposes of the application; applicants should report graduate cohorts 2021–2025; and applicants can view and print completed applications but cannot currently download a prefilled PDF of all questions prior to starting (presenters suggested the technical assistance guide as a workaround).

Presenters repeatedly advised applicants to email the Song‑Brown team for account and application help; slides and chat included contact addresses and the presenters referenced songbrown@hki.ca.gov as a point of contact. The webinar closed with reminders about the early‑submission review (July 20 at 3:00 p.m.), final close (Aug. 3 at 3:00 p.m.) and the plan to post slides and the recording online after accessibility processing.
