The PBC subcommittee moved to advance competing AV and IT vendor proposals for the Wakefield school technology package, asking staff to finalize a line-by-line comparison before full PBC approval.
Frank told the committee the project issued two RFPs under separate procurement categories: OFF50 for AV and institutional AV equipment and ICT73 for active network and computer equipment. Two OFF50 proposals were received: Avidex at $316,000 and ProAV at $256,000. “Avidex is at $316,000 for the OFF50 portion… ProAV currently is at $256,000,” Frank said, noting he was still finalizing bid leveling to confirm whether the price gap was primarily labor and cabling.
Committee members pressed Frank to ensure an apples-to-apples comparison, particularly whether cabling and other line items were included in ProAV’s bid. Frank said he was verifying cabling and other components and expected to issue multiple purchase orders for different equipment groups (active network, desktop/laptops, Apple devices) under the ICT73 procurement because some vendors (Dell) cannot supply specific network switches.
Given roughly a $60,300 difference between the two OFF50 bids, the subcommittee approved a motion that the current committee advance both vendor options pending final pricing confirmation and present the comparison to the full PBC for decision. The committee emphasized speed because vendor pricing holds were limited to about seven days.
Next steps: Frank will finalize bid leveling and the apples-to-apples comparison; the subcommittee will present the vendor comparison to the full PBC at the next meeting for final sign-off.
