Committee members reviewed a draft describing the composition and duties of an EdTech committee and a proposed communication protocol for technology incidents. Participants said most committee members should be certified staff but suggested an exception for the IT supervisor. "So you would want to say all members of the EdTech committee will be certified staff with the exception of the IT supervisor," one participant said.
Discussion turned to whether the draft should be prescriptive about update frequency. A committee member said regular updates should be defined in the protocol and that the IT supervisor would draft the communication timeline. The committee discussed calling the EdTech committee when an incident lasts longer than a week. "The idea was if it's gonna last over a week, the tech committee would be called in," a participant said.
Speakers used a current Canvas sync outage as an example of why a formal protocol and timeline would help staff. "Canvas sync is still down, and we don't have an ETA," one staff member said, arguing that regular updates—even if only to say nothing has changed—would keep staff informed.
The group agreed to ask the IT supervisor to prepare the protocol (including communication and update cadence) and to include the item in the wood-design packet for further review. No formal action or vote occurred during the meeting.
