The Henderson County Board of Public Education voted March 9 to approve a $1,337,000 purchase from CDW‑G for 2,732 Chromebook devices as part of the district’s annual device replenishment. The purchase passed by voice vote after staff cautioned that current market disruptions could result in partial or delayed fulfillment and that prices might change if orders cannot ship from vendor warehouses by contract cutoffs.
Technology staff told trustees the district budgeted $1.1 million for the purchase and that additional state allotments and current-year funds can cover the approved amount; they noted the vendor may be able to fulfill only part of the order at the contracted price and would return to the board if pricing or quantities changed.
Board members also debated device-protection options. Technology staff presented a proposal to move from a third‑party protection administrator to a district‑managed plan (self-insurance), outlining a lower fee structure and coverage limits (for example, covering the first two accidents or one theft and then reverting to a per-incident fee schedule). Staff and trustees discussed alternatives including a small universal annual user fee (board members estimated that a $5 per-student fee would raise roughly $60,000 districtwide) versus voluntary opt-in insurance.
The board asked staff to return in April with a multi-year historical cost analysis of device repairs and replacements, and with modeled options (opt-in insurance, district self-insurance with a universal fee, and targeted grade-level approaches) so trustees can decide on policy and collection mechanisms. Staff said they will also address logistics for payment methods and hardship waivers for families qualifying for free/reduced-price benefits.
The Chromebook procurement motion was recorded as approved; the device-protection discussion produced no vote but a direction to produce data and recommendations at the next meeting.
