Joint trustees and building committee approve minutes and warrants; earmarks and small grants noted

The JV Fletcher Library Board of Trustees and the Permanent Town Building Committee approved prior meeting minutes and routine financial items at the April 6 meeting.

The committee moved and approved the joint minutes from March 2 and March 16 in a combined roll‑call vote reported as 9 yes, 0 no, 4 abstain. The committee then approved warrants, invoices and transfers totaling $68,439.75 by roll call (reported 13 yes, 0 no). It also approved the monthly amplifund report for February 2026 by roll call (reported 13 yes, 0 no).

Ellen reported that three FFE (furniture, fixtures and equipment) contract bids came in under budget and that staff are reviewing quantities and dimensions before issuing contracts. She briefed the group on new meeting‑room and study‑room policies the library will adopt and said the library will expand shelving by roughly 20% when the collection is returned from the temporary site.

On funding, the committee noted that $60,000 in community preservation funds has been approved for skylight restoration (to be processed through the town accountant), the Westford Recycling Commission awarded $5,000 toward a Library of Things program, and a $2,200 gift was received from a local giving group. Staff said state grant disbursements and foundation fundraising remain active, but timing and amounts for some expected disbursements were not specified in the meeting record.

The committee discussed dates for the next quarterly update to the select board and agreed to place May 26 on the calendar as a placeholder to allow for a more complete schedule and data package to be developed. The meeting adjourned at 7:31 p.m.
