The Westfield Washington School Board on May 12 approved a series of routine and business items including: the consent agenda (board minutes, accounts payable and payroll vouchers, personnel actions and routine contract renewals), a district food-service procurement list for 2026–27, a one-year custodial-services renewal with SSC that includes two added facilities and a 3.4% contract increase, authorization to advertise a Construction Manager as Constructor (CMC) RFP for the Monon Athletic Complex and two elementary community rooms, adoption of the 2027–28 school calendar, approval of the 2026–27 student fee schedule and the second reading approval of the 2026–27 student handbooks.
Consent and routine approvals
The consent agenda was moved and seconded and approved by voice vote with no recorded opposition. The consent items cover board minutes, accounts payable, payroll vouchers, personnel reports, overnight/out-of-state field trips and routine contract renewals.
Food-service procurement
Dr. Greg Hunt outlined the federally guided procurement recommendations coordinated through the CLIC cooperative and listed primary vendors and renewals: US Foods Premier (mainline distributor), Piazza Produce and D&O Produce (fresh produce/fruit vendors), Dairy Farmers of America and Prairie Farms (dairy), Alpha Bakery and Clausterman Bakery (fresh bakery), Velvet Ice Cream (frozen novelties), Smart Mouth Pizza (branded pizza), Smart Systems (sanitation) and Keurig Dr Pepper (beverages). The board approved the procurement slate as presented.
Custodial contract with SSC
Administration described the SSC contract as a one-year renewal that adds two facilities (Midland Elementary and Shamrock Station) totaling 208,493 additional square feet at a rate of $2.08 per square foot, producing an added annual cost the presentation listed as $433,787. The packet shows the current monthly contract amount ($318,357.71) and the new monthly figure ($354,506.63) reflecting a 3.4% increase; the board approved the contract effective June 1, 2026.
Construction-manager RFP (Monon Athletic Complex)
The board approved legal advertisement for a CMC RFP and a timeline for release, review and board approval. Administration said contingency dollars from earlier construction work will fund the new elementary community rooms, so no additional bond dollars are proposed.
Calendar, handbooks and fees
The board adopted the 2027–28 school calendar (semester schedule, later August start, finish-before-winter-break target) and approved the 2026–27 student handbooks on second reading; Dr. Hoover noted updates with respect to wireless-device rules, AI guidance, attendance and diploma/dual-credit information. The 2026–27 student-fee schedule (consumables for related-arts and select courses) was also approved.
Other items
Administration recognized a Westfield Education Foundation grant package of 77 "jump start" teacher grants totaling $35,442.82 to support classrooms during district rebalancing. Multiple staff awards and retiree recognitions were presented earlier in the meeting.
