Decatur BZA members raise concerns about attendance, ask staff to notify alternates

Board members used the March 30 meeting to raise recurring concerns about attendance and the practical role of supernumerary alternates.

During an open discussion after the hearings, members noted several regular members have missed multiple meetings. Chair Tom Polk and other members said supernumeraries are alternates who are called when needed, but that reminders and clearer RSVP follow-ups could help ensure adequate participation. One suggestion was to send an update two days after meeting invites showing who has responded.

Board members agreed to remind absent colleagues and to be more attentive to meetings; no formal bylaws amendment or procedural change was proposed or enacted at this session. The conversation was a request for improved communication rather than a binding policy change.

The board adjourned following the discussion.
