Staff says PO for RTUs issued after accounting fix; chair warns late fire‑system orders pose project risk

During old business, staff (S9) told the committee that purchase orders for RTU1920 and RTU1922 will be or have been issued after accounting corrections, and that expected lead time for the units is six to eight weeks.

"PO will be issued. We found the money," S9 said, noting the earlier accounting double‑booking that delayed issuance. He added that POs previously written to Gilbane will be reviewed to avoid duplicate accounting errors.

The chair (S1) and other members expressed concern about delayed ordering for fire‑system devices at Fairfield Woods, where the fire marshal had required all devices in hand before work can begin. "There's a big risk on the project right now," the chair said, urging staff to manage procurement so permitting and fire‑marshal approvals are not delayed.

S9 said Sonitrol has the order and devices were expected to be onsite before June 1; the committee asked staff to take the PO and delivery timeline offline to clarify causes of delay and mitigation steps. No formal motion was taken; the committee recorded the concern and asked for follow‑up.
