Clayton committee reviews 2024 special-event finances, asks staff to agendize final budget and contractor closeout

The City-Sponsored Special Events Committee met Sept. 10, 2024, at Clayton City Hall to review financial activity tied to this year’s community events and to record a procedural approval of previous minutes. The meeting opened at 4:38 p.m. and adjourned at 5:17 p.m.

Assistant City Manager Regina City presented financial statements and related activity for four 2024 events: Concerts in the Grove, the Fourth of July Parade, Summer Car Shows and the city’s 60th Anniversary Celebration. Committee members discussed final donations and sponsorship amounts, final and pending expenses, the music plan for the Sept. 21 car show, and the city’s financial reporting cycle for event reconciliation. The minutes record discussion of these items but do not list dollar amounts or final totals.

Councilmember Wan moved to approve the Aug. 26, 2024 meeting minutes; Vice Mayor Trupiano seconded and the motion carried as recorded in the minutes. The committee also requested that staff add two items to a future agenda: the final special-events budget and a closeout report for PrimeTime Entertainment, LLC’s 2024 Concerts in the Grove contract.
