District facilities staff told the Facilities Committee that a manufacturer pricing error produced a previously approved quote for the North gymnasium bleacher replacement that was much higher than expected.
Jessica Bindas, the district’s supervisor of facilities, said the originally approved quote was $858,540. "Their manufacturer had a extreme pricing error," Bindas said, and the vendor revised the district’s quote to $292,020. The district said the vendor proactively notified staff of the error rather than billing the higher figure.
Board members asked whether CoStars or other consortium contracts were involved and whether the district had enough competitive bids for a specialized indoor telescoping bleacher system. Bindas said the district attempted to contact multiple vendors and consortium partners but had limited responses for this specific indoor product and that several dealers declined service in Pennsylvania or did not respond.
Committee members praised the facilities office for persistence and cost containment. One member proposed exploring whether additional procurement oversight (a purchasing manager or a technical purchasing resource) would help detect outlier quotes earlier; others noted the market for specialized bleacher systems is narrow and that the district had performed due diligence.
Bindas confirmed the installation schedule remains on track for August and that because the revised figure is lower than the previously board‑approved higher amount, no additional public board approval is required unless the district sought a change order above the original authorization.
The committee accepted the update and asked staff to continue documenting vendor communications and bid comparisons for the record.
