The Flower Hill Board of Trustees voted March 2 to accept a five‑year trash collection bid from Meadowkarting after only one company submitted a proposal during the advertised RFP process.
Mayor said the village advertised the RFP locally and in Newsday and emailed local haulers to encourage competition, but only Meadowkarting submitted a bid. "Good news is that, the price actually came in lower than what we're currently paying," the Mayor said, adding that "Year 1 cost is 3% less than we're currently paying" with subsequent years increasing by 3% per the bid schedule.
The board authorized the village attorney to prepare a contract for execution and accepted language in the bid that allows the village to rebid annually if desired. The mayor described the award as a favorable result given the limited response and said the village had structured past contracts as a series of one‑year renewals to preserve flexibility.
The motion to accept the bid was made by the Mayor and seconded; it passed on a voice vote. The village noted the board will monitor personnel continuity with the hauler and that the contract's year‑to‑year provisions give the village options if market conditions change.
The board did not provide a detailed line‑by‑line financial schedule in the meeting minutes; the mayor said more specifics would be included in the contract documents prepared by the village attorney.
