Library trustees and a committee presented three furnishing, fixtures and equipment (FF&E) proposals for the Upper King William library: Option 1 (all new, est. $294,008), Option 2 (mix of existing and new, millwork est. $22,000 and estimated savings of about $50,669), and Option 3 (more reuse, local vendor, estimated savings $60,169). Presenters said the Virginia Librarys state aid award (about $173,000) would cover Options 2 or 3.
Board members questioned lead times, vendor sourcing and whether local vendors would be used. Staff said choosing an approach requiring local procurement and additional bidding could add roughly 60 days (10-12 weeks) to the timeline and might affect the opening date. Trustees recommended Option 2 as a compromise between cost and readiness.
The board voted to approve Option 2 and then moved to appropriate the countys state library aid ($173,516) to the project account. Roll calls recorded approval for both motions. Staff said any leftover state aid could be used for other library needs and that staff would proceed with procurement consistent with the approved option and the state-aid constraints.
