USBE staff used the monthly data meeting to walk LEAs through year‑end UTracks submission steps, report availability and common fatal validations; they also announced Cactus downtime and the deadline to request educator salary adjustments.
Riley, leading the year‑end training, provided the submission timing and instructions: 'The deadline for historical update requests this period is Monday, June 24 by 5PM.' He added: 'The deadline for the year end data submission this year is Monday, July 8 by 5PM,' noting that the seventh fell on a Sunday so the deadline shifts to the following Monday. He emphasized that someone at each LEA must physically press the finalize button and be available after finalization in case state staff find issues that require rapid remediation.
Earlier in the meeting Calista warned that 'Cactus will be down June 28 through July 15' for rollover and that LEA requests for the educator salary adjustment (about $8,000 for most educators) must be submitted by Sept. 27 to guarantee funding and inclusion in the system. USBE said LEAs should ensure active license status for educators to be eligible for salary funding.
Trainers reviewed the school summary cumulative report (noting it was blank for some LEAs but expected to be fixed within days), described fatal errors and warnings that may become fatal next year, and flagged high‑priority review areas (membership, enrollment, incident data, early literacy/numeracy and special education counts). They urged LEAs to use CSVs, UTracks reports and the help desk for data review and to request a prioritized courtesy review if needed.
Next steps: USBE will turn on finalization functionality in UTracks around June 17, continue data reviews, publish corrected reports, and send slides and recordings to LEAs. Staff will be available via the help desk and email during the windows described.
