USBE trainers gave a rapid overview of Utreks (the data gateway) and related guidance for LEA data stewards. Key points: daily data collections should be scheduled; fatal errors block records and must be resolved before finalization for most LEAs; level‑1 errors affect an LEA only while level‑2 errors can involve other LEAs and require cross‑LEA coordination.
Stephanie Sue demonstrated how to download examined data files and validation error reports, explained the difference between archived reports (updated months after finalization) and live Utreks reports, and urged LEAs to download reports immediately after finalizing. She said USBE plans to send courtesy data review letters around mid‑May ahead of year‑end finalization and that these reviews highlight must‑respond items (those affecting funding) and other suggested checks.
Melissa Bregiosi described the Utreks specification document (field definitions, SIF mapping, and validation guidance), explained the update cadence (two editing periods per year) and recommended LEAs bookmark the specification page on USBE's website and watch the 'recent revisions' section. Trainers reiterated that October finalization timing is still under discussion but that December and July deadlines remain on the seventh by 5 p.m.; LEAs were advised to ensure contact information is current so courtesy reviews reach the right staff.
Trainers also referenced the HB 82 staff-email requirement (LEAs must provide staff emails by Oct. 1) and walked through the process for uploading CSV contact files in Qualtrics once the templates are published.
