Staff described that rapid renewal increases make it fiscally impractical to stay on the VMware platform and that credits negotiated with a systems integrator (identified in the packet as a Dell/Redesign solution) reduce transitional costs.

The walk‑in request covered phased server infrastructure replacement, licensing and implementation support. Presenters said the accelerated schedule is necessary because Broadcom’s renewal window constrains long‑term planning and delays could lock the district into materially higher multi‑year renewals.

Staff projected the migration would yield net savings relative to staying on the incumbent platform, noting an estimated five‑year savings compared with remaining with Broadcom/VMware. Committee members asked about contract protections and long‑term vendor risk; staff said agreements include support terms and multi‑year protection and said they will provide contract details upon request.

The committee indicated support for moving the purchase forward quickly so the district can place hardware and licensing orders in time to avoid near‑term renewal windows; administration said it would provide contract language and cost breakdowns for the full board and that the recommended option was intended to preserve service while containing costs.
