Auditor briefs council on mail-machine accounts and postage lines; vendor quote expected

Tonya Dunsmore, Delaware County auditor chief deputy, updated the council on postage and freight accounting and the county mail machine (Pitney Bowes).

Dunsmore explained the machine currently supports 100 accounts and that staff are reviewing whether departmental subaccounts are needed or should be inactivated. She said the county could upgrade to 500 accounts if necessary but recommended checking which subaccounts are still active before adding new lines to avoid unused balances. A vendor webinar and a formal quote were expected by Friday.

She also described operational distinctions: certified mail handled in the clerk's office must remain separate because of oath and chain-of-custody requirements, while bulk and parcel mail could be shifted to the mail room if the correct equipment (a scale and ShipPro integration) is provided. The auditor's office will report back with recommendations after reconciling active accounts and talking with the vendor.
