Council questions large project-cost figure on resurfacing amendment; administration calls item 'administrative cleanup'

During the Jan. 6 pre-meeting a council member raised alarm at an apparent project-cost figure shown in the agenda materials for a resurfacing contract amendment, reading an estimated total as "$2,000,002,224,600." The council sought clarity on whether engineering-service cost limits would be exceeded by the proposed amendments.

The council member asked whether the engineering services cap of $227,000 and a later $52,500 amendment fit within the original $2,000,000 estimate and whether the change order figures caused the original total to be exceeded. Staff responded that the contract scope had been expanded over time with additional streets added and that the totals had indeed been exceeded. Staff characterized the current amendment as administrative cleanup and agreed to provide the council with consolidated totals for the project.

Clerk also previewed an amendment with RouteWare Master Sales to add cloud-based hardware, software installation and services at $166,366 and noted a $52,500 amendment with Kimberly Horne Associates for the Western Bayfront resurfacing project. The council asked staff to circulate accurate totals and explanations before final action.

No formal vote on the resurfacing amendment or RouteWare item was recorded at the pre-meeting; staff committed to follow up with corrected figures.
