Board awards Monroe job to local contractor and authorizes quote letters for several ditch projects

The Grant County Drainage Board approved multiple procurement actions: it awarded a Monroe Branch brush-and-dip contract to John's Repair for $10,424 after reviewing two competing quotes and noting John's Repair was approximately $1,200 lower than the next bidder.

Later in the meeting, staff asked for permission to send out formal quote letters to solicit contractor bids for specific ditch projects. The board separately authorized sending quote letters for a long leech/tributary of Baron Creek and for Monroe Ditch / Taylor Branch and tributaries; motions were moved, seconded and passed. The board instructed Mary (staff) to prepare and mail the letters in time for contractors to receive the required seven-day notice before quoting and to schedule subsequent quote openings with holiday timing in mind.

Board members noted that the letters trigger specific procedures outlined by counsel and emphasized that each ditch vote needed to be made separately rather than bundled. The board also discussed budget constraints and the need to prioritize projects by drainage importance and available funds.

The awarded contract and authorizations will proceed under routine procurement procedures; John's Repair will be expected to carry out the work as specified and the quote-letter process will start once staff prepares the mailing.
