Governing Board approves RFQ for full, end-to-end policy review; cautions over cost

The Sun City West Governing Board voted Nov. 20 to seek quotes for a full, end-to-end review of all association policies. Director Alan Schleimer moved that the board issue a request for quote (RFQ) — a procurement step staff said would collect information without obligating the board to contract for services.

Schleimer explained the difference between an RFQ and an RFP, saying an RFQ "is essentially seeking information in order to facilitate a decision as to whether or not this is something the board intends to then pursue" and does not commit the board to engage a vendor. Director Turner cautioned the community to be prepared for "sticker shock" because the work could require substantial staff and consultant hours.

Board members agreed the effort is important for statutory compliance and organizational clarity; the motion to solicit RFQs passed unanimously. Staff said the RFQ responses will be reviewed in the winter and any recommended next steps, including potential budget implications, will be presented to the board.
