Mills County commissioners approve accounts payable ahead of upcoming audit

Mills County commissioners unanimously approved the county's accounts-payable docket during the court's first meeting of 2025, after the county treasurer signaled an audit beginning Monday.

The approval came during an item listed as "review and act on accounts payables," which Judge Williams said the Court called early because "our treasurer has an audit coming up Monday." Commissioners then voted to approve the package, including an add-on item.

The vote followed questions from commissioners about specific line items. Commissioners asked about a $132.66 credit on an Orchard fuel-card account and about several sheriff's department meal receipts that showed small-dollar charges ($17 and $85) appearing on detailed receipts rather than aggregated lines. Treasurer Summer explained those small entries are the individual receipts that appear in the credit-card file and that department staff can provide receipts if the commissioners want more detail.

Other items noted in discussion included an RGA trailer purchase listed at $13,100 and several roadside-parts charges discussed by precinct staff. A separate computer-service invoice totaling $512 was flagged by a commissioner as paid from Jackie's desk despite the county's continued problems with that machine; the commissioner said he would follow up with the vendor.

Commissioner Head moved to approve the accounts payables; the motion was seconded and carried unanimously.

Court members and staff agreed that any outstanding documentation requests (for sheriff receipts, the credit-card adjustment and the unresolved computer-service work) would be handled outside the meeting so the treasurer could complete the audit preparations.
