The Bel Air Board of Town Commissioners voted unanimously Sept. 2 to approve a 63-month lease with Canon USA Inc. for eight multifunction copiers and ten printers at an estimated cost of $99,294.93 based on current print volumes. Commissioner Taylor moved the approval and Commissioner Chance seconded; the board recorded four aye votes.
Procurement staff said quotes were solicited from three vendors and Canon submitted the lowest total cost based on current volumes and offered a fixed per-print rate for the contract term. Staff reported Canon’s proposal was $14,632 lower than the next lowest vendor and that Canon is the incumbent provider.
Deputy/Staff (Mr. Grama) told the board the FY 2026 budget for copies and printers is $28,524 and that the proposed Canon cost for FY 2026 is $21,355, producing an FY 2026 savings of $7,169. Staff projected future annual costs at about $18,913.
Commissioners thanked staff and technology personnel for procurement work; there were no public comments on the item. The board approved the lease as presented; no amendments were recorded.
