This increase is attributed to the rising costs associated with hardware and service plans from their long-time partner, Nortex.

Officials debated various options for financing the upgrade, including purchasing phone hardware outright or opting for a rental plan. The latter could potentially lower upfront costs but may complicate accounting processes. The total projected cost for the first year, including setup and monthly service fees, was estimated at $65,850 for Nortex, while a competing proposal from Vested Networks was significantly higher at approximately $209,895 over five years.

The urgency of the upgrade was underscored by the acknowledgment that without a budget allocation today, the project could be delayed indefinitely. Officials agreed to propose a budget of $69,000 for the phone system, allowing for flexibility in future adjustments based on tax rates and revenue projections.

In addition to the phone system, discussions touched on potential cuts to other budget items, such as digital signage, which some officials deemed less critical than the phone upgrade. The meeting concluded with a consensus on prioritizing the phone system while remaining open to further budget refinements as the fiscal year progresses.
